Privacy Policy
Version 2026-06-06.4 — how we handle your personal data.
Last updated: 2026-06-06.4. This Privacy Policy explains how The Lone Wolf Agency ("we", "us", "our") collects and uses personal data when you interact with our website and the Wolf Hub creator platform ("Wolf Hub").
1. Who we are
The Lone Wolf Agency is a TikTok LIVE creator agency based in the United Kingdom. We are the data controller for the personal data described in this policy. You can contact us at thelonewolf.management@gmail.com.

2. What personal data we collect
When you register and use Wolf Hub we collect and process:
- Account data: email address, password (stored as a one-way hash by our authentication provider), and account creation date.
- Creator identifiers: your TikTok username and (optionally) display name.
- Approval status: whether your account is pending, approved, rejected, or no longer active with the agency, and any internal notes management records against your account (for example a removal reason).
- Profile picture: if you choose to upload one, the image file and the file path on our storage backend.
- Creator performance statistics: figures uploaded by management from TikTok agency reports, including diamonds, valid LIVE days, LIVE hours, LIVE streams and new followers, both as the current snapshot and per calendar month.
- Achievements and badges: badges you have earned and the performance snapshot that triggered them.
- Communications metadata: the email sending log (recipient, template, status, timestamps), unsubscribe preferences and any suppression entries (for example bounces or unsubscribes).
- Legal acceptance records: the version of these policies you accepted, the timestamp and the IP address at acceptance.
- Technical data: standard server logs (IP address, user agent, request timestamps) used for security and abuse prevention, including ad-hoc rate limiting on sensitive endpoints. We do not run any third-party web analytics, ad networks, or marketing trackers on this site.
- Feature usage events (first-party analytics): when you use Wolf Hub we record lightweight events against your user ID — for example opening the Pack directory, viewing another creator's profile, viewing the Achievements or Leaderboard pages, and opening a notification. These events are visible only to agency administrators and are used solely to understand which Wolf Hub features are valuable. We do not share them with any third party and we do not use them for advertising.
- Pack Chat messages: the content you post in the shared Pack Chat room, the timestamp, and your user ID, TikTok username, display name and avatar at the time of posting. Messages are visible to all approved creators and to agency administrators. Administrators can delete messages, review reports submitted by creators, and temporarily mute users to enforce these terms. You can delete your own messages.
- Pack Chat visibility and retention: Pack Chat is an internal Wolf Hub feature. Messages are not publicly visible and are not shared outside the approved creator community. Messages, including those you delete, may be retained for moderation, operational, security and dispute-resolution purposes. Reports you submit (the reported message, your user ID and the reason) are kept so administrators can review them; reported content may be retained for as long as the report is open or any related moderation action is active.
We do not knowingly collect special-category personal data (for example health or biometric data) and we do not collect payment card data — creator earnings are paid by TikTok directly, not by us.
3. How we use your data and the legal basis
- Contract: to operate the agency relationship — verify your TikTok account, approve your membership, show your statistics and progress, send account-related emails, and manage your ongoing membership.
- Legitimate interests: to keep Wolf Hub secure, prevent abuse, maintain an audit trail of administrative actions and improve the platform.
- Consent: for optional features such as displaying your profile picture or featuring you in the public Creator Showcase. You can withdraw this consent at any time.
- Legal obligation: to comply with applicable UK law, including record-keeping where required.
4. Who we share your data with
We only share personal data with the providers that are necessary to run Wolf Hub:
- Our hosting and backend provider (Lovable Cloud, powered by Supabase): hosts the database, authentication, file storage and server-side functions that power Wolf Hub.
- Our email delivery provider: sends transactional emails such as approval notifications, password resets and announcements.
- Authorised agency administrators at The Lone Wolf Agency: have access to your full profile and stats in order to manage the agency relationship.
We do not sell your personal data and we do not share it with advertisers.
5. Other creators and public visibility
Approved creators can see a leaderboard inside Wolf Hub that shows TikTok usernames, profile pictures and rank for the top performers. Individual diamonds, hours and other detailed stats are never exposed to other creators — only to you and to agency administrators. You can ask us to hide you from the leaderboard at any time (see Section 8).
The public Creator Showcase on our marketing pages only includes creators that an administrator has explicitly chosen to feature, marked as active, and for whom we have a recorded consent confirmation. The same consent requirement applies to any testimonial or success story attributed to you. If you do not wish to be featured (or wish to withdraw previously given consent), email thelonewolf.management@gmail.com and we will remove you.
5a. Wolf Pack (friends), XP, streaks and notifications
Wolf Hub includes optional social and engagement features. When you use them, we process:
- Wolf Pack / friendships: if you send or accept a friend request, we store the pair of user IDs and the status (pending / accepted) so we can render the connection. Friends only see your public profile data (TikTok username, profile picture, level / wolf title, current streak length and badge count). They never see your diamonds, hours, earnings or any private stats.
- Friend Profiles (extended profile fields): you may optionally add a short bio, creator niche, spoken languages, LIVE schedule, social / website links and a profile banner image. These optional fields are visible only to administrators and to creators with whom you have an accepted friendship — they are not shown to the wider Pack Directory, the public website or unauthenticated visitors. Private stats (diamonds, LIVE hours, followers, earnings) are never included in a Friend Profile. You can edit or remove any of these fields at any time from your Wolf Hub dashboard, and they are deleted as part of an account-deletion request. You are responsible for the content you choose to publish in these fields and for ensuring any links you share comply with our Terms of Service.
- Friends count and friends list visibility: your Wolf Hub dashboard displays the number of creators you are mutually connected with. Because friendships in Wolf Hub are mutual, your “Followers” and “Following” counts are the same number. You can enable “Hide who I follow” in your Pack Profile settings to prevent other creators from seeing the list of creators you are friends with; your aggregate friend count and your existing friendships are not changed by this setting, and administrators retain access for moderation. Pending or rejected creator accounts cannot view the Pack Directory, friend lists or Friend Profiles.
- XP, levels, daily check-in and streaks: we record each check-in date, your XP balance and your current / longest streak so the platform can award progression and milestones.
- Notifications: level-ups, achievement unlocks, streak milestones, friend requests, agency announcements and showcase features generate in-app notifications stored against your user ID. Read notifications are automatically pruned after 90 days; unread after 180 days.
- Agency News Flash: when your account is approved, your TikTok username may appear in a short welcome message ("Welcome @username to Wolf Hub") displayed in the News Flash banner to other approved creators for up to 24 hours. Administrators may also publish manual announcements in the same banner. News Flash messages are visible only to approved creators signed in to Wolf Hub. If you would prefer not to be welcomed publicly, email us before approval and we will disable the welcome message for your account.
You can stop using these features at any time and your friendships and notifications are deleted as part of an account-deletion request.
6. How long we keep your data
- Active accounts: for as long as you are a creator with the agency.
- Inactive / left agency: account and stats history may be retained for up to 24 months for record-keeping and to allow reinstatement if you return.
- Notifications: read notifications are automatically deleted after 90 days; unread after 180 days.
- Friendships: retained while both creators have active accounts; removed on account deletion.
- News Flash messages: automatic welcome messages expire after 24 hours. Admin-authored News Flash messages remain visible until an administrator removes them or until they reach their configured expiry time.
- Feature usage events: retained for up to 12 months for internal product analytics and then deleted.
- Email send log: retained for up to 12 months for deliverability and abuse investigation.
- Email suppression list: retained indefinitely so we never re-send to addresses that have unsubscribed, bounced or complained.
- Legal acceptance and account-deletion records:retained as a permanent audit trail as required by UK GDPR Article 30.
- Consent records (showcase, testimonial, success-story consent): retained for as long as the related content is published, plus 6 years as evidence of the lawful basis.
You can ask us to delete your data earlier (see Section 8).
7. Security
Wolf Hub uses row-level security so that creators can only read their own statistics, badges and profile, and so that only administrators can change approval status, manage notices or upload stats. Passwords are stored as one-way hashes by our authentication provider, communications use HTTPS, and sensitive server endpoints use timing-safe checks and rate limiting. No system is perfectly secure — please use a strong, unique password and contact us immediately if you suspect your account has been compromised.
8. Your rights and how to exercise them
Under the UK GDPR you have the right to: access your data, rectify inaccurate data, erase your data, restrict or object to certain processing, and receive a portable copy. You can also withdraw consent (for example to your profile picture being shown, or to a testimonial / showcase feature) at any time.
To make a Subject Access Request (SAR), correction, erasure, portability or objection request, email thelonewolf.management@gmail.com with the subject line "Data request" and tell us which right you wish to exercise. We will acknowledge within 7 days and respond substantively within one calendar month, as required by UK GDPR Article 12. We may extend this by a further two months for complex requests and will tell you if we do. We do not charge a fee for these requests except where they are manifestly unfounded or excessive.
You can also opt out of marketing-style emails at any time using the unsubscribe link at the bottom of those emails. Account-related emails (for example password resets) will continue to be sent because they are necessary to operate your account.
You can request deletion of your Wolf Hub account at any time from within Wolf Hub (Dashboard → Delete My Account) or by emailing thelonewolf.management@gmail.com. An admin will review and process the request. Certain records (legal acceptance history, email suppression and audit logs) may be retained where required by law.
If you are unhappy with how we handle your data you have the right to complain to the UK Information Commissioner's Office (ICO). You can contact the ICO at ico.org.uk/make-a-complaint, by phone on 0303 123 1113, or by post to: Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF. We would, however, appreciate the chance to deal with your concerns first.
9. Cookies and similar technologies
We do not use third-party analytics, advertising or tracking cookies. We use a small number of strictly necessary technologies: a session token (stored in your browser by our authentication provider) so you stay signed in, and minor local-storage entries used by the app interface (for example remembering whether the sidebar is open). These are essential to run Wolf Hub and do not require a cookie consent banner under UK rules.
10. International data transfers
Some of the services we rely on process personal data outside the United Kingdom and the European Economic Area:
- TikTok (ByteDance): when you join the agency on TikTok and we receive your creator statistics from the TikTok Creator Network. TikTok processes data globally.
- Discord (US): if you join our Discord community, your Discord identifier and any messages you post are processed by Discord Inc. in the United States under their own privacy policy.
- Our hosting and email infrastructure: may route through data centres in the EU, UK, or US depending on region.
- Authentication and email delivery providers: may be based outside the UK / EEA.
Where personal data is transferred outside the UK / EEA we rely on appropriate safeguards: the UK International Data Transfer Addendum, the EU Standard Contractual Clauses, or an adequacy decision. You can request a copy of the safeguards in place by contacting us using the address in Section 12.
10a. Email communications, suppression and unsubscribe
We send two categories of email: service emails(password resets, account approval, deletion confirmations, security notices) which are necessary to operate your account and cannot be opted out of while your account is active, and agency emails (announcements, important updates) which you can unsubscribe from at any time using the link at the bottom of those messages. Unsubscribes are honoured by a suppression list which we maintain indefinitely so we never re-send to addresses that have opted out, bounced or complained.
11. Changes to this policy
If we make material changes, we will bump the version number at the top of this page and may notify approved creators by email or in the Wolf Hub Notice Board. Continuing to use Wolf Hub after a change means you accept the updated policy.
